Administrative Assistant Ops

Summary:
Provide administrative support to ensure efficient operation of the Operations Department. Minimal work direction needed, highly skilled and knowledgeable to the position.

Essential Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The essential job duties for this position are listed below: 

  • Answer phone calls, coordinate meetings and conferences

  • Carry out administrative duties such as filing, typing, copying, scanning, record tracking, etc.

  • Record, compile, retrieve, report, cost track, and analyze information for special projects

  • Sort & distribute mail

  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies

  • Communicate effectively with vendors, customers, and co-workers

  • Assist HR with timesheets and onboarding of new hires

  • Work with Account Payable on project cost tracking, invoicing, and PO activities

  • Handle other administrative duties as assigned

Required Education:

  • High school diploma or GED

Required experience:

  • Minimum of 5 years of relevant experience is required

Required Qualifications:

  • Valid driver’s license with demonstrated safe driving record

  • Effective communication skills and organizational skills

  • Proficiency with MS Office Suite including Outlook, Excel, and Word is required

  • Attention to detail
